To use Wondershare PDFelement, you need a basic system requirement as follows:

Create PDF:

Create from a file

If you want to save a file as PDF format, just click the聽From File button in the starting window (you can also click聽HOME>From File button), browse and click to choose the file from your local drive. Click聽Open. And then, you can see it is opened by Wondershare PDFelement as a PDF file. Click the save icon on the top of the program to save it as a PDF file to your computer.

Create from multiple files

If you have multiple files needed to be saved as PDF format, click the聽From Filebutton either in the starting window or HOME menu to enable the browsing window for the multiple files. Find the folder where the multiple files you want to save as PDF format are. Hold down Ctrl key and click the file one-by-one. Click聽Opento open them. After then, you can see they are opened one-by-one in different windows. In each window, click the save icon on the top of the window to save them as PDF files on your computer respectively.

Create from a paper document

If you have a paper document and want to save a copy of it as PDF format, you should firstly use a camera to take a screenshot of the document or scan it as an image with a scanner. Save the image on your computer. After then, launch Wondershare PDFelement and click the聽From File button in the starting window or HOME menu. Browse your computer, find and select the image of the paper document. Click Open to open it as a PDF file with Wondershare PDFelement. Click the save button on the top of the program to save it as PDF copy on your computer.

Create from a blank PDF document

To create a blank PDF document, you鈥檙e supposed to click the File menu on the top of Wondershare PDFelement window. Then in the left side of the window, you can see聽New. Click it. In the new window, there is an option聽Create a blank PDF document and basic information setting up options for the blank PDF document. Click聽New and then you鈥檒l find a new blank PDF file is created and being opened with Wondershare PDFelement. And then you鈥檙e able to either edit the PDF file or save it directly to your computer by clicking the save icon on the top of the program.

Create from Microsoft Office document

Wondershare PDFelement is able to help you create PDF files from Microsoft Office documents. The only requirement is that all the Microsoft Office documents you want to save as PDF files can be opened on your computer.

Run Wondershare PDFelement on your computer. Click the聽From File button in the Starting window or HOME menu. Then browse your computer to select a Microsoft Office document to open. If you want to create multiple Microsoft Office documents as PDF format, from there, you should hold down the Ctrl key to select multiple documents to open. After then, click the save icon on the top left of the program to save them as PDF format on your computer.

Combine a PDF from multiple files

With Wondershare PDFelement, you鈥檙e able to combine multiple files, like images, Micrsoft Word documents, Excel worksheets, text, into a single PDF file.

In the starting window or HOME menu, you can see the option聽Combine. Click it. In the pop-up, you鈥檙e able to drag and drop files directly to the window or click the聽Add Files to browse your computer for the files. After adding files into the window, drag the files respectively to arrange the order. When it is done, click the drop-down list at the top right of the window to select the quality of the PDF file according to where the file will be used for: Web quality, Office quality, Print quality or customize your own wanted quality. When it is done, click the聽Combine to merge these files into a single PDF document.

Add unifying page elements

Watermarks

Wondershare PDFelement allows you to add both text and image watermark, edit and delete watermark. After opening a PDF file with Wondershare PDFelement, you can go to EDIT menu to find聽Watermark in the submenu. Clicking the Watermark drop-down list, you鈥檙e able to see 3 options: New Watermark, Delete Watermark and Update Watermark.

  • Add new watermark: Click聽New Watermark to open the Add Watermark window. From here, you can choose add Text or Picture watermark. To add text, just type in the word in the text box. To add picture, you need to browse your computer to upload picture. After then, you鈥檙e supposed to rotate the watermark into a suitable degree, adjust the position of the watermark, and set up which page(s) to apply the watermark.
  • Delete Watermark: to remove watermark from your PDF files, just click聽Delete Watermark. In the pop-up window, click聽Ok to confirm the deletion.
  • Update Watermark: when clicking聽Update Watermark, then you鈥檙e able to edit the watermark.

Crop pages

If you don鈥檛 want people to see any a part of a PDF page, then you can apply the聽Crop option to crop the PDF page. Simply go to the EDIT menu and click Crop in the submenu. After then, drag the mouse to draw on the PDF page. The area you draw should be the part you want to keep. Of course, you鈥檙e able to adjust the frame on the page you鈥檝e drawn. After then, double-click the frame to enable the Crop Settings window. From there, you鈥檙e able to adjust the crop margins and page range you want to apply for the cropping.

Rotate Pages

Rotating PDF pages is available in the EDIT menu as well. When you need to rotate PDF page(s), just find and click the聽Rotate button in the submenu. In the pop-up window, you鈥檙e capable of setting clockwise 90 degrees and counterclockwise 90 degrees, and set up the page(s) or page range(s) to apply the rotation.

Add or Delete pages

In the EDIT menu, you can also add or delete PDF pages. You can see the Insert and Delete option in the submenu. To add PDF pages, click聽Insert drop-down list to choose either聽Blank Page orFrom PDF. If you choose聽Black Page, then a new blank PDF page will be added to the exiting PDF file. If you choose from聽From PDF, it means the whole PDF file you choose will be added to the current PDF file.

Split or Extract pages

If your PDF files is too large to send by email or you just need to spit the whole file into several parts, you can click the聽Split in COMMENT menu. In the pop-up window, set up the splitting measure: by pages or bookmarks. After then, click聽OK to carry out the splitting.

You can also extract some specific pages from a PDF file by clicking聽Extract. In the setting up window, choose the specific page or page range(s) to extract

Replace pages

If you want to replace some pages of the current PDF file with some pages of another PDF file on your computer, you should click聽Replace in the EDIT menu. And then, in the pop-up window, choose specify the page(s) to replace and replacement pages.

Comment tools overview

In the COMMENT menu, you can see that Wondershare PDFelement offers you various tools to comment on PDF files or mark PDF content. They鈥檙e stamps to declare the PDF status, stick note, markup tools, arrows, cloud, oval, pencil, and more.

Add a sticky note

To add a stick note on the current PDF file, just click the Note icon in the COMMENT submenu and then click on the PDF page. Type in the information you need. When you want to view the content in the stick note, double-click to expand it. And selecting it and right-click on the stick note allows you to change the properties of the stick note: edit author who add the sticky note, the color of the sticky note and its opacity. If you have added multiple sticky notes in the PDF file, you can click Annotation icon in the left sidebar to check them out.

Highlight, strikethrough, or underline text

It鈥檚 also pretty easy to highlight, strikethrough, and underline text on PDF files. In COMMENT menu, select the corresponding tool: Highlight, Underline, or Strikethrough, move your mouse to the text, and drag your mouse over the text. To change the color of the highlight to lines, select it and then right-click on the annotation you鈥檝e made and choose Properties. In the pop-up window, choose the color you prefer.

Stamp a document

Wondershare PDFelement offers you both preconfigured and customizable stamps to show the status of the PDF file. In COMMENT menu, click the drop-down list for Stamp, you can see more than 20 stamps available. Choose the right one you need and move your mouse to the place on the PDF file to add the stamp. After then, right-click on the stamp to choose Properties. From the pop-up window, you鈥檙e able to customize the color of the stamp. To delete it, select it and right-click on it, choosing聽Delete.

Create a customer stamp

In the stamp drop-down list, you can see the option聽Create Custom Stamp. Click it and you鈥檒l navigate to a new window. From there, you鈥檙e supposed to browse the stamp in image format from your computer and upload it. Click聽Next to give it a new name and put it into the existing category.

Add a line, arrow, or shape

There are many drawing markups in the COMMENT menu as well. Click any of them, say, a line, an arrow or a cloud, and then move your mouse to the right place to draw on the PDF page. To change the color, select the markup you鈥檝e draw and right-click on it. Select Properties. And in the Appearance window, change the color.

Manage Comments

All the comments you鈥檝e added to the current PDF file are listed. You just need to click the聽Annotation icon in the left sidebar, you鈥檒l see them or delete them.

To start creating or editing PDF forms,

. Open a blank PDF page or an existing PDF form file.
2. Change to select text mode by clicking Select Text.
3. To exit form editing, click聽FORMS>Close Form Editing.

Add text fields

Text field is for typing text, to add the text field, do as follows:

1. Click FORMS>Add text field,
2. The cursor will change into a cross with rectangle, click anywhere you want to add the text field and then drop the proper size of the text field.
3. To move the position, click on the text field, drag and drop to a new place. Or move the cursor over the rectangle edge, when the cursor becomes cross with direction, click and hold the text field to move to where you want.

Add Check Box, Radio Button

Check Box is for multiple selection, while Radio Button is for single selection, to add them, follow the follow steps:

1. Click FORM>Check Box (Or Radio Button)
2. The cursor will change into a cross with rectangle, click anywhere you want to add the Check Box (or Radio Button) and then drag the proper size to add.
3. To move the position, click on the Check Box (or Radio Button), drag and drop to a new place.

Add Combo Box, List Box

Combo Box and List Box are both a list to choose, the difference is you can choose one option by dropping down the list in Combo Box while you can click one of the options in List Box. To add Combo Box or List Box, follow the steps:

1. Click聽FORMS>Combo Box (or List Box)
2. The cursor will change into a cross with rectangle, click anywhere you want to add the Combo Box (or List Box) and then drag the proper size to add.
3. To move the position, click on the Combo Box (or List Box), drag and drop to a new place.

Add Button

PDF form button is for some kind of actions like calculating, submitting, running forms, opening etc. You can always customize the action you want. To add form button, follow the steps:

1. Click FORMS>Button
2. The cursor will change into a cross with rectangle, click anywhere you want to add the button and then drag the proper size to add.
3. To move the position, click on the button, drag and drop to a new place.

Edit Forms

For each object, you can do edit, move, delete, and set properties,

  • To copy and paste, right-click on the object, choose copy/cut, and then right-click to where you want to place the object then choose paste.
  • To move the object, click on the button, drag and drop to a new place. Or move the cursor over the rectangle edge, when the cursor becomes cross with direction, click and hold the text field to move to where you want.
  • To edit the properties, double-click on the object to activate the properties window, you can customize the general option, appearance, object options as well as actions and so on.

Security overview

It is like to secure your own house that you set permission to your document. Other people may not open, edit or print your PDF without your authorization. Also you may need to secure PDF with certificates. Wondershare PDF Element provides Password protect and digital signature for security option. You can use passwords to restrict users from opening, editing or printing PDF.

Types of Security

  • Password protect: Click PROTECT>Password, you can select to protect current file or multiple PDFs at a time. In the pop up window, there are two options: Open password and permissions password
  • Digital signature: It鈥檚 like a handwritten signature to approve documents. Click PROTECT>Sign Document. Then follow the on-screen instructions to continue.

Set PDF open password: this option restrict users from opening a PDF. Click PROTECT>Password>Current Document. Check the 鈥楻equire a password to open the document鈥 box and then type your password and confirm.

Set editing and printing password: this option restrict users from editing or printing the PDF document. Click PROTECT>Password>Current Document. Check the 鈥楻equire a password to change security settings and access specific functions鈥 box and then type your password and confirm. There are options to allow printing or editing.

You can choose to restrict users from printing, with permission:

  • Not allowed to print.
  • Low resolution printing is allowed.
  • High resolution printing is allowed.

This option allows you to change the permission for editing PDF:

  • No changes can be made.
  • Insert, delete and rotate is allowed.
  • Filling form fields and signing is allowed.
  • Commenting, filling form fields and signing is allowed.

2. You need to add a digital ID first. In the pop-up windows, please select a existing digital ID from a file or create a new digital ID.
3. Set your password.
4. Finish.
